Hooray! 🥳 Welcome to the SE Soc Exec Team!

Being elected an Exec is a serious accomplishment, you've demonstrated to your peers that you're the best candidate to represent all SE students and fulfill their needs.

You're probably already familiar with SE Soc Docs if you've been around for a while as a member of general council, but this document is here to give you any refreshers that you might need and introduce you to some housekeeping items you'll need to perform.

Responsibilities

As an executive your responsibilities exceed beyond the scope of a single term. You'll be expected to plan projects, maintain outside relationships if relevant (sponsors, alumni, speakers, etc.) and most importantly transition general councils across term borders.

Creating a new executive council each term

Make sure the steps in How to transition councils and update Notion are followed at the beginning of each term!

Executive Transition Meetings

As you'll know from section 5.2 of the Constitution , at the beginning of the term, executives between A-Soc and B-Soc will hold a transition meeting for which the outgoing executive will prepare an agenda and the incoming executive will schedule.

Outgoing executives are encouraged to review any Post-Mortems that were conducted for events held during the term.

General Council Meetings

Section 5.1 of the Constitution details General Council meetings. For these meetings, the executive can send out a LettuceMeet invitation and open the meeting Agenda for additions at least 1 week in advance of the intended meeting time.

Also, be sure to appoint a Secretary at the top of term, who will take notes for each meeting. Make sure to archive these in !

Coordinating with Class Reps

Keep in touch with the SE Seminar professors as they will typically hold SE Soc Class rep elections for each term. Once the Class Reps for a given term have been elected, be sure to contact them and invite them as editors to SE Soc Docs. It is recommended that new members follow the steps outlined in General Council Onboarding before the first general council meeting.

First General Council Meeting

At the first General Council meeting of the term, it's advised that the executive council prepare and present some goals and event ideas for the term to the general council, which can be discussed as desired.
